ANDROS WATERSIDE RETREAT CANCELLATION & REFUND POLICY

This policy outlines the terms for modifying, canceling, or receiving a refund for reservations made at Andros Waterside Retreat, including hotel rooms and private vacation rentals, and any pre-booked activities or supplementary services. Our policy is designed to uphold the financial viability of our service model while ensuring fair treatment for our guests.

1. PAYMENT REQUIREMENTS

Deposit: A 50% deposit of the total reservation cost (including taxes and fees) is required at the time of booking to confirm the reservation.

Final Balance: The remaining 50% balance is automatically charged to the card on file 30 days prior to the scheduled arrival date.

Late Bookings: For reservations made within 30 days of arrival, the full 100% reservation cost is required at the time of booking.

2. CANCELLATION TIERS AND REFUNDS (ROOM/RENTAL)

The refund amount for the primary accommodation (room or rental) is dependent on the number of days prior to 3:00 PM local time on the scheduled arrival date that the cancellation request is received in writing.

  • 30 Days or More: Cancellations received 30 days or more prior to arrival will be processed, and a 100% Refund of the initial deposit paid will be issued.

  • 8 - 30 Days: If cancellation is received between 8 and 30 days prior to arrival, the remaining balance will not be processed (if applicable). However, No Refund will be issued, and the initial 50% deposit is forfeited.

  • Less than 7 Days: For cancellations received less than 7 days prior to arrival, the full charge applies (100% of the total booking), and No Refund will be issued; the full reservation amount is forfeited.

  • No-Show: Reservations resulting in a No-Show will be canceled without notice, and No Refund will be issued; the full reservation amount is forfeited.

3. RETREAT ACTIVITIES AND ADD-ONS POLICY

This section applies to individually booked services such as spa treatments, private excursions, transportation, dining packages, and pre-paid retreat activities. The refund amount for activities is dependent on the number of days prior to the scheduled activity date that the cancellation request is received in writing.

  • 14 Days or More: A 100% Refund of the activity cost will be issued.

  • 7 – 13 Days: A 50% Refund of the activity cost will be issued.

  • Less than 7 Days: No Refund will be issued. The full activity cost is forfeited due to vendor and staffing commitments.

  • Modification Policy: A guest is permitted a one-time modification (change of date or time) only within the initial 24-hour grace period immediately following the time the activity was booked. After this period, any change is treated as a cancellation subject to the above fee schedule.

4. MODIFICATIONS AND EARLY DEPARTURE

24-Hour Grace Period (Initial Booking)

Guests are granted a 24-hour grace period immediately following the time of booking confirmation to make any modifications (date, room type, activity or cancellation) without incurring any fees or penalties. After this 24-hour window expires, all terms, deposits, and cancellation penalties outlined in Section 2 and Section 3 immediately apply.

Date Modifications

Guests are permitted one (1) modification to their booking date outside of the 30-day window, subject to availability and any applicable rate differential. Any subsequent modification will be treated as a cancellation subject to the above fee structure.

Early Departure

If a guest chooses to depart prior to the confirmed check-out date, the full reservation amount will remain payable, and no refund will be issued for unused nights, services, or packages.

5. REFUND PROCESSING

All approved cash refunds will be processed back to the original form of payment within ten (10) to fifteen (15) business days from the date the cancellation request is approved. Processing times may vary depending on the guest's financial institution.

6. EXTENUATING CIRCUMSTANCES (FORCE MAJEURE)

In the event of extraordinary circumstances (e.g., mandatory government travel restrictions, natural disaster events declared by government agencies), the Andros Waterside Retreat reserves the right to review the booking and may, at its sole discretion, offer a 100% cash refund or complimentary rebooking. Guests are strongly advised to secure comprehensive travel insurance to cover unexpected illness, travel delays, or personal events not covered by this policy.

Guest Liability and Damages

The reserving guest is solely responsible for any and all damage to the premises, fittings, inventory, or equipment caused by themselves or any member of their party during the stay. The cost of repair or replacement will be automatically charged to the credit card on file, in addition to any charges for loss of business revenue if the accommodation must be taken out of inventory for repairs.

Smoking and Conduct Policy

Andros Waterside Retreat maintains a 100% non-smoking policy inside all accommodations and enclosed common areas. A minimum deep cleaning fee of $400 will be charged for any smoking violation within the accommodation. Guests are expected to maintain reasonable noise levels and respect the tranquility of other guests, particularly between the hours of 10:00 PM and 8:00 AM.

Maximum Occupancy

The total number of guests staying in the accommodation is strictly limited to the number stated on the reservation confirmation. Exceeding the maximum occupancy without prior written approval will result in immediate termination of the booking without refund.

Pets Policy

Pets are not permitted in guest accommodations or on the premises, with the exception of certified service animals as required by law. Guests bringing unauthorized pets will be charged a minimum $500 deep cleaning fee and may face eviction.

7. GENERAL TERMS AND PROPERTY USE

Check-in and Check-out

  • Check-in Time: 2:00 PM local time. Early check-in is strictly subject to availability on the day of arrival and may incur a half-day rate fee.

  • Check-out Time: 11:00 AM local time. Late check-out is strictly subject to availability and will incur a minimum fee of a half-day rate. Any unauthorized late check-out beyond 1:00 PM will result in a charge equivalent to one full night's stay.

8. COMMUNICATION AND CONTACT

Formal Notices

All formal requests for cancellations, modifications, or date changes must be submitted in writing via email to modreservations@androswatersideretreat.com. The effective date of the cancellation or modification will be the date and time the email is received by Andros Waterside Retreat. If the formal notice is received outside of standard business hours (9:00 AM – 5:00 PM local time) or on a weekend/public holiday, the effective date will be the next standard business day.

Governing Time

All deadlines specified in this policy (e.g., 3:00 PM arrival, 30-day cutoff, 24-hour grace period) are governed by the local time zone of Andros Waterside Retreat (currently EST / EDT - Bahamas Time).

9. GOVERNING LAW AND JURISDICTION

This Cancellation and Refund Policy shall be governed by and construed in accordance with the laws of The Commonwealth of The Bahamas. Any disputes arising under or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts of The Commonwealth of The Bahamas.
